HIS PTA VOLUNTEER POSITIONS

The HIS PTA is excited to welcome you and your family to the 2017-18 school year. The PTA sponsors many great events and activities that are open to all HIS families. We encourage you to participate and support your child in any way you are able. Below please find a description of the Room Parent volunteer duties, as well as a list of our committees for this school year. ROOM PARENTS

Dates: This is a yearlong commitment September – June
Please plan on attending the monthly PTA meetings and Room Parent Training meeting September 11.

Description: Each grade level will have 1 main Room Parent and can also tap other parents to be co-room parents. This person will be responsible for communicating with fellow parents regarding classroom happenings through Shutterfly Share Sites. Additionally, he/she will work to coordinate parties and special events within the classroom, as well as decorate the classroom for each season. This person will be working closely with their designated representative from the PTA board (Lower School and/or Middle School rep) and teacher. Short “training” will be provided for new volunteers, and we’ll share dates to decorate, example party ideas, example party supply signup lists, and guidelines for communicating plans with teacher and fellow classroom parents. We are seeking room parents for every grade level.


BOOK FAIR COMMITTEE

Dates: Nov. 13-17 and Mar. 19-23

This is a fundraiser where books are sold, as well as erasers, pens and many other fun items for the kids.

Chairperson: Needed to organize setup and run the event. Chairperson to submit budget line items and final plans to PTA Board no later than 6 weeks prior to each event.
Volunteers: Needed to set up, break down and work the cash registers during the fair, as well as promote attendance to other parents. Varying shifts are available, full sign up schedule will be posted in October along with classroom shopping dates/times.


FAMILY/PARENT FUN NIGHT

Dates: 9/22, 10/13, 10/19, 11/17, 12/15, 2/9, 3/16

Families are invited to attend an afternoon or night out at a local business/event to enjoy food or entertainment. Some nights will be parent-only events.

Chairperson: Needed to coordinate with outside businesses, organize and run the event. For Fabulous Shoe Nights these will be coordinated by FSN and chair will only need to encourage attendance. Chairperson to submit budget line items and final plans to PTA Board no later than 4 weeks prior to each event.
Volunteers: Needed to help spread the word and encourage attendance, small potential for help needed the day of the event.


FUNDRAISING COMMITTEE

Dates: Year-round

We can earn cash for our PTA events by collecting:

  • Box Tops from various household/food items
  • Labels for Education
  • Encouraging shopping at Vons and linking EScripts account for % back to HIS PTA
  • Shopping at Target with RedCard that is linked to our school for % back to HIS PTA
  • Selling Entertainment Book coupon booklets
  • Encouraging Amazon shoppers to use the link on HISPTA.com to shop through for % back to HIS PTA or setting up an Amazon Smile account with HIS PTA as the beneficiary for % back to HIS PTA
  • Encouraging Pedi Ped children’s shoe shopping via the link on HISPTA.com for % back to HIS PTA
  • Encouraging raffle ticket purchases during Spring Fling
  • Encouraging silent auction purchases during Silent Auction

Chairperson: Needed to promote the various programs, as well as collect box tops and labels from classrooms and submit them to the program. Typically, Chair will host a pizza party (two times per year) for the winning classroom; this is paid by the PTA.  Investigate new fundraising opportunities.

Volunteers:  Needed to assist in collecting and organizing box tops, labels, etc., as well as encouraging other parents to help our PTA raise funds by shopping via PTA links in places they are already shopping so that the rev share proceeds benefit HIS PTA.


HOLIDAY SHOP COMMITTEE

Dates: 12/11-12/15

This is not a fundraiser, but an opportunity for children to buy inexpensive gift items for their loved ones during the winter holidays. Children practice their math skills, budgeting, and the gift of giving.

Chairperson: Needed to organize setup and run the event. Chairperson to submit budget line items and final plans to PTA Board no later than 6 weeks prior to each event.
Volunteers: Needed to help set up the shop, organize inventory, wrap gifts, and help students shop.
Varying shifts are available, full sign up schedule will be posted in November along with classroom shopping dates/times.


MEET AND GREET COMMITTEE

Dates: Pastries with Parents 5/18

This is an opportunity for HIS parents to visit the school and enjoy a pastry with their child.

Chairperson: Needed to organize, set up and run the event. Chairperson to submit budget line items and final plans to PTA Board no later than 6 weeks prior to event.
Volunteers: Needed to help the day of the event.


MIDDLE SCHOOL DANCE COMMITTEE

Date: Friday, May 18

This is a free night where the Middle School kids can enjoy dancing, food, pictures, etc.

Chairperson: Needed to organize setup and run the event. This person will be working with outside vendors. Chairperson to submit theme, budget line items, and final dance plans to PTA Board no later than March 31.
Volunteers: Needed to help the day of the event.



PHILANTHROPY COMMITTEE

Dates: Year-round

HIS is dedicated to giving back to the community through various donation events and hands-on service opportunities in partnership with Project 150 organization, which benefits homeless Las Vegas Valley youth. This year, HIS PTA will be identifying some Project 150 events for hands-on service opportunities for our students to recognize how they can help make a difference in the world through donating their time to helping others.

Chairperson: Needed to organize the donation events, work with philanthropy partner to identify and promote hands-on service opportunities for our students, as well as research new opportunities for us to give back. Coordinate donation collection events.
Volunteers: Needed to assist the chairperson with the events and service opportunities, as well as encourage participation.


SILENT AUCTION COMMITTEE

Date: May 4

Parents will enjoy an evening out while bidding on auction items for the benefit of HIS PTA. This is the #1 fundraising event for HIS PTA, and this event’s proceeds help fund all of our events and givebacks. HIS PTA now uses Givesmart mobile bidding, so it has never been easier to be on this committee!

Chairperson: Needed to organize setup and run the event in addition to getting donated items to auction. This person will work alongside the PTA Board. Chairperson to submit budget line items and final auction plans to PTA Board no later than Jan 15.
Co-Chairperson: Needed to input details of donated items into Givesmart website, along with resizing photos and logos to fit Givesmart online bidding platform.

Volunteers: We have 4 types of volunteers we are seeking:

  1. Needed to assist the chairperson with various activities, generally available to help with any and all tasks.
  2. Solicit items/services to be donated from area businesses that the PTA can auction.
  3. Helping setup morning of auction and tear down day after
  4. Selling raffle tickets and cash (non-bidding) items the night of the event.

SPRING FLING COMMITTEE

Date: May 4

This is an evening event for HIS families to enjoy a fun night filled with carnival games, food, giveaways, and entertainment.

Chairperson: Needed to organize and run the event. Additionally, create themed baskets for prize giveaways. This person will be working with outside vendors. Chairperson to submit budget line items and final Spring Fling plans to PTA Board no later than February 5.
Volunteers: We have 5 types of volunteers we are seeking:

  1. Needed to assist the chairperson with various activities, generally available to help with any and all tasks.
  2. Helping organize prizes and goody bags a few days prior to event.
  3. Helping setup morning/afternoon of event prior to doors opening at 6pm.
  4. Helping tear down day at 9pm when event ends.
  5. Selling raffle tickets for giant gift baskets night of the event 6pm-8pm.

 


SUMMER KICKOFF COMMITTEE

Date: June 1 (last day of school)

This is a morning event for PreK – Lower School students to enjoy a day of water play and cold treats. Middle School event is off campus.

Chairperson: Needed to organize, set up and run the event. Chairperson to submit theme, budget line items and final Summer Kickoff plans to PTA Board no later than March 2.
Volunteers: Needed to help the day of the event with setup and tear-down, and possibly a few days prior to event for sorting goody bags.


TEACHER APPRECIATION COMMITTEE

Dates: Holiday Luncheon (12/15) and Teacher Appreciation Week (April 16-20)

We like to show our teachers and staff how much we appreciate them through food, raffle prizes and other nice gestures. This year, we’ll be hosting 3 Grab and Go Breakfasts that will be catered by an off-site company. The Teacher Appreciation Week Luncheon will also be catered. Only the Holiday Luncheon will be potluck.

Chairperson: Needed to coordinate a theme for Holiday Luncheon and Teacher Appreciating week, as well as organize and run the events. Chairperson to submit Teacher Appreciation Week theme, budget line items and final plans to PTA Board no later than January 24.
Volunteers: Needed to help carry out the events – preparing food for Holiday Luncheon potluck, set up, break down, greeting, helping out in the children’s lunchroom (different shifts are available).

 


OTHER VOLUNTEER OPPORTUNITIES

Dates: Year-round

Other volunteer opportunities are available for:

  • Library Helpers – coordinated by Librarian Linda Lewis
  • Findlay Prep Helpers – coordinated by Teacher Jordan Johnson
  • PTA Event Photographer – coordinated by PTA President and individual Committee Chairpersons, volunteers are needed to help take photos at each of the PTA’s events
  • PTA Graphic Design Help – coordinated by PTA President and individual Committee Chairpersons, volunteers are needed to help create graphics for the following PTA events due to annual theme changes: Middle School Dance, Silent Auction, Spring Fling, Summer Kickoff, and Teacher Appreciation Week. This includes designing signage, invitations, t-shirt and other branded swag designs, and social media graphics. We only need graphic design help – printing will be coordinated directly by Board/Committee.
